Change of Circumstance Protection Policy

Purpose

We want every camper who registers to be able to attend. If your family’s financial situation changes for the worse after you register, this policy protects you from owing more than you can manage.

How It Works

  1. Tuition cap. If your family experiences a negative change in financial circumstances after registering, your tuition will be capped at the amount you have already paid. You will not be billed for any remaining balance, and your camper keeps their spot.
  2. What counts as a change in circumstances. Examples include job loss or reduced hours, a significant medical event or expense, a death or serious illness in the family, divorce or separation, or a natural disaster or other emergency. This list is not exhaustive. If you’re unsure whether your situation qualifies, please ask.
  3. How to request it. Contact Emily Kirby, VP Open World, at openworld@digipen.edu before your next scheduled payment is due. A brief explanation is all we need. We do not require tax returns, bank statements, or other financial documentation. Your request will be kept confidential and shared only with staff who need to know.
  4. If you’ve already paid in full. If your camper is fully paid but you no longer feel you can afford camp, please reach out. We would much rather work with you than have you lose sleep over it or withdraw your camper. Depending on the situation, we may be able to offer a partial refund, a credit toward a future session, a session change, or other arrangements. These are handled case by case.
  5. Scope. The cap applies to tuition for the workshop(s) you registered for. It does not cover optional add-ons (such as extended care or lunch) that are added after the cap is applied.

Requests made in good faith will be treated with respect and without judgment. Our goal is to keep kids at camp and families in our community.
